Privacy Policy

PrairieCall is an AI answering service based in Champaign, Illinois. When a business subscribes to PrairieCall, our AI receptionist Claire answers their incoming calls. This policy explains what happens to caller information in plain English.
Call Recording — Illinois Law Notice
Illinois is a two-party consent state under 720 ILCS 5/14-2. Every call answered by PrairieCall is recorded and transcribed, and every caller is informed of that fact at the start of the call before any substantive conversation begins. Claire's opening greeting includes the phrase “just so you know, this call is being recorded” — that disclosure satisfies the Illinois consent requirement. If a caller objects to being recorded and wishes to speak with a human instead, Claire will take a message or transfer the call.
What We Collect
When a call is handled by PrairieCall, we may collect:
- A recording and AI-generated transcript of the call
- Caller name, phone number, and email address if provided
- The nature of the inquiry (appointment request, question, urgency level, etc.)
- A post-call summary — a structured note extracted by AI covering the key details of the conversation
We do not collect payment information, social security numbers, or any other sensitive financial or government-issued identifiers through Claire.
How We Use It
Call recordings and transcripts serve two purposes. First, they power the service — Claire uses transcripts to follow up, and the subscribing business uses them to review calls and act on leads or appointment requests. Second, we use call summaries for quality assurance: reviewing whether Claire handled calls correctly so we can improve her behavior.
We do not use your call data for advertising, and we do not sell caller data to any third party, ever.
Who Sees Your Information
The business you called is the primary recipient of your information — that's why you called them. They receive the call summary, any appointment or lead details Claire captured, and access to the recording and transcript if they need to review it.
We use Retell AI to power Claire's voice infrastructure. Retell AI processes audio and generates transcripts on our behalf, and is subject to their own privacy and data processing terms. We do not authorize Retell AI to use caller data for their own independent purposes beyond providing us the service.
We do not share caller data with any other third parties unless required by law.
Data Retention
Call recordings and transcripts are retained for as long as the subscribing business maintains an active PrairieCall account, plus up to 90 days after the account closes. Callers may request earlier deletion at any time (see below).
Your Rights — Requesting Deletion
If you were a caller and want your recording, transcript, or contact information removed, email us at hello@prairiecall.com with the phone number you called from and the approximate date of the call. We will locate your records, delete them from our systems, and confirm deletion within 10 business days. We will also notify the subscribing business that records for that call have been removed.
